Invoice on the day, get paid on the day: invoicing + QuickBooks without double entry

Quick Take: If you do not invoice on the day, chasing payment becomes the job. This guide sets out a same-day routine for a 1 to 10 person trade shop: build the invoice from the completed job before leaving site, send it by text or email with a payment link, and let the field-service sync carry it into QuickBooks instead of typing it again. QuickBooks owns the books; the field tool owns the job record, and the one-way sync is what stops double entry. It works best where those two roles stay separate. It will not fix unclear line items, a missing payment link, or a sync set to the wrong trigger, and payment timing still depends on the method the customer chooses.

  • Best for: 1 to 10 person trade shops that invoice on site and keep books in QuickBooks.
  • Best for: Shops already running Jobber, or a comparable field tool, for jobs.
  • Not best for: Shops that need field scheduling and dispatch as the primary job, or a solo contractor who only needs invoicing.
  • Trades fit: plumbing, HVAC, electrical, cleaning, landscaping, wherever the job record and the invoice must match line for line.

This guide is based on vendor documentation read on October 29, 2026. It claims no hands-on testing of any platform. Prices below are in USD, confirmed on that date, and only prices confirmed on that date appear here.

What does invoice on the day actually change?

Same-day invoicing changes three separate steps, and keeping them separate is what makes the routine work. The first step is the invoice itself: a bill built from the finished job, with line items the customer can recognise. The second step is the payment request: the invoice reaches the customer with a way to pay attached to it. The third step is the books: the invoice and the payment land in the accounting system once, without a second round of typing.

When the invoice goes out on the day, the customer still remembers the work, the technician is still nearby if a question comes up, and the payment request arrives while the job is fresh. That does not guarantee fast payment, since timing still depends on the method the customer chooses, the gateway involved, and the bank. It does remove delay added by the shop itself.

This pillar is a workflow guide, not a pricing re-run and not a head to head verdict between accounting tools. Full price breakdowns live on the spokes: our QuickBooks pricing guide for a small HVAC business and our FreshBooks pricing guide for a small cleaning business. What follows is the routine, the sync, the ways it breaks, and the setup per shop type.

How do you invoice before you leave the driveway?

The routine starts on site, in the field tool, before the truck leaves. Using the Jobber mobile app on iOS or Android, invoices can be created, sent, and paid while still on site. A job invoice is generated from the completed job’s line items, labour hours, and materials, then sent to the client. Building from the job record means the customer sees the same work, hours, and materials the crew recorded.

Jobber’s invoicing options cover the shapes a trade shop actually bills. Invoices can be generated from job details and sent by text or email, Batch invoicing selects multiple jobs and sends them in a few clicks, Progress invoicing covers larger jobs billed in stages, and automatic follow-ups chase overdue invoices without the office remembering each one by hand.

The driveway sequence is the same every time: finish the job, check line items, hours, and materials against what was actually done, generate the invoice from the job, and send it before leaving, with a payment link attached. Our driveway invoicing sequence sets out that five minute routine in full. Plumbers have a dedicated shortlist as well: our guide to the best invoicing apps for plumbers that sync with QuickBooks. Before the job becomes an invoice at all, price it properly with our job quote calculator and turn an accepted figure into a billable document with our estimate generator.

How do you take payment on the day without chasing it?

A same-day invoice without a payment link is only half a routine. The invoice has to carry a way to pay, so the customer can act on it at once instead of filing it for later. In QuickBooks Online, the Simple Start plan description puts it plainly: invoice and get paid by accepting credit cards and bank transfers in the invoice with QuickBooks Payments, with status updates and reminders. Payment methods listed on Intuit’s Payments pages include cards, ACH payments, Apple Pay, PayPal, Venmo, and Affirm buy-now-pay-later, though availability varies, and Tap to Pay on iPhone is listed for in-person payment. Online payments are automatically recorded in QuickBooks Online.

One setup condition deserves stating before anything else: online payment options require a connected bank account. Intuit’s own help material says the shop will need to connect to a bank account in order to view online payment options. This guide states no QuickBooks Payments transaction rate and no deposit timing, because no single US rate or US deposit timing was verified for this article on October 29, 2026. Rates vary by payment method, so confirm the rate for the method your customers use.

Reminders and late fees are the second half of getting paid without chasing. FreshBooks, covered in detail later in this guide, applies automated payment reminders and late fees when an invoice is past its due date. Reminders can be applied to all clients’ new invoices, to a specific client, or to a specific invoice, and late fees can be a percentage or a flat fee. One-time reminder emails can also be sent from an unpaid invoice. Once a job is paid, check whether it was actually profitable with our profit per job calculator.

How does the invoice reach QuickBooks without double entry?

Double entry happens when the same invoice is typed into two systems by hand, and the two copies then drift apart. The Jobber to QuickBooks Online sync exists to stop that by carrying the record once, in one direction. The sync is one-way, from Jobber to QuickBooks Online. It syncs clients, products and services, timesheets, invoices, payments, refunds, tips, and payouts automatically. One record, created in the field tool, appears in the books without retyping.

Timing controls decide when each record crosses over, and they are set per record type. Invoices sync either after they are marked as sent or when they are created, depending on the setting chosen. Payments, refunds, and tips sync when collected, or can be set to not sync. Approved timesheets sync when approved. Older items can be back-synced, with dependencies that matter in practice: payments require invoices, and payouts require invoices and payments.

The division of labour behind the sync is where shops go wrong. QuickBooks owns the books: the invoice, the payment, and the financial record. The field tool owns the job record: what was done, by whom, with what materials, and for which customer. When those two roles stay separate and the sync carries records between them, the office stops retyping and stops reconciling two versions of the same job.

What breaks the sync, and how do you check it?

The most common break is the wrong trigger. If invoices are set to sync when created but the shop expects them to sync when sent, or the reverse, invoices will appear in QuickBooks earlier or later than expected, and the office will conclude the sync failed when it actually followed its setting. Check the trigger first, before anything else: confirm whether invoices sync after being marked as sent or when created, and confirm the payment, refund, tip, and timesheet settings match the same expectation.

The second break is plan eligibility. The QuickBooks Online integration is available on select Jobber plans only, and Jobber’s help pages point to its current pricing plans for eligibility. No Jobber price is stated in this guide, because none was verified on October 29, 2026. If the sync option does not appear at all, check plan eligibility before troubleshooting settings that may not exist on that plan.

The third break is payout and fee mapping. Jobber Payments payout sync maps fees, tips, refunds, and payouts to QuickBooks accounts created as needed. One further check belongs on every shop’s list: the vendor sync list verified for this guide names clients, products and services, timesheets, invoices, payments, refunds, tips, and payouts. Expenses are not named in that list, so confirm expense handling directly before relying on the sync for expenses. If a mismatch persists after those three checks, our Jobber QuickBooks sync mismatch guide works through the case where Jobber says paid and QuickBooks cannot find the invoice.

What if QuickBooks is the invoicing tool itself?

Not every shop runs a field tool, and QuickBooks Online can be the invoicing tool itself. The vendor steps are direct: go to All apps, then Sales and Get Paid, then Invoices, then Create Invoice. Select or add a customer, add product or service line items with quantity and rate, then Save or Review and send. Recurring invoices can be set to create and send on a schedule, which suits repeat work billed the same way each cycle. Automatic invoice reminders can be set for invoices due or almost due, and invoice status can be reviewed under Sales and Get Paid, then Invoices.

Where does FreshBooks fit, and where does it stop?

FreshBooks fits as the invoicing-first alternative, and its shape suits a shop whose main job is billing rather than running field jobs. List prices in USD, confirmed October 29, 2026, are: Lite at $23 per month, sending invoices to 5 clients, with estimates, card, ACH, Apple Pay, Google Pay, and buy-now-pay-later payment options, and tax-time reports; Plus at $43 per month, sending invoices to 50 clients, with estimates, proposals, and client retainers, financial and accounting reports, expense receipt scanning, and accountant access; and Premium at $70 per month, sending invoices to unlimited clients, with bill receipt scanning with line items, project profitability, and customized email templates. Select is quote-only, so record it as contact the vendor for a quote. FreshBooks card transactions start at 2.9% plus $0.30. The full breakdown is in our FreshBooks pricing guide, and plain vendor reference is FreshBooks pricing.

FreshBooks invoicing behaviour matches the same-day routine in its own way. Automated payment reminders and late fees apply when an invoice is past its due date, with reminders settable for all new invoices, a specific client, or a specific invoice, and late fees set as a percentage or a flat fee. One-time reminder emails can be sent from an unpaid invoice.

Where FreshBooks stops is the job record. It is not field-service software, so it does not carry a field job record or sync one into QuickBooks. A shop that needs the invoice generated from a completed job, with labour hours and materials attached, will find that gap quickly. The comparison verdict between FreshBooks and QuickBooks for a solo contractor, including the tax question that decides it for many solo operators, lives in our FreshBooks versus QuickBooks guide for solo contractors.

What about a generalist suite like Zoho Books?

Zoho Books enters this guide only with a fit caveat, because it is a generalist suite, not trade-specific field-service software. Zoho Books accepts online payments on invoices by integrating with payment gateways such as Stripe, PayPal, Authorize.Net, and Square, depending on country. Once a gateway is set up, the customer can pay from the customer portal, the invoice email, or a shared invoice link, and the invoice payment status updates accordingly.

The caveat is the absence of the trade layer: no field job record, no dispatch, and no job-to-invoice generation of the kind described earlier in this guide. A shop choosing Zoho Books for invoicing is choosing a generalist accounting tool and accepting that the job side lives elsewhere or on paper. No Zoho Books price, plan tier, or free-plan limit is stated here, because none was verified on October 29, 2026. Zoho Books is linked here as the generalist-suite option, and only here.

Which setup fits a 1 to 10 person shop?

The chooser below is about workflow, not about crowning a winner. A job-led shop, where crews complete jobs in the field and the invoice must match the job record line for line, fits the field tool plus QuickBooks pattern: build the invoice from the job on site, send it with a payment link, and let the one-way sync carry it into QuickBooks. A books-led shop, where the office already works inside QuickBooks, fits invoicing inside QuickBooks Online, with recurring invoices and status tracking in the same system. A solo invoicing-first shop, where the main need is billing, estimates, and reminders without a field system, fits FreshBooks, with the client caps as the trigger to watch: 5 on Lite, 50 on Plus, and unlimited on Premium.

Two practical checks apply to every setup. First, build labour rates that belong on the invoice before the first on-site bill, using our fully loaded labour rate calculator. Second, keep the free tools hub in reach for the rest of the routine: our free tools hub holds the quote, estimate, profit, and labour calculators, with no signup.

Every setup shares the same limits, and they are worth restating before the chooser table. Unclear line items will be questioned no matter how fast the invoice arrives. A missing payment link turns a same-day invoice into a same-day filing task for the customer. A sync set to the wrong trigger will look broken while following its settings exactly. And payment timing still depends on the method the customer chooses, the gateway involved, and the bank.

The conditional recommendation: for a 1 to 10 person trade shop, invoice from the completed job before leaving site, send it with a payment link, and carry it into QuickBooks once, by sync or by invoicing inside QuickBooks directly. Prices in this guide are USD figures confirmed October 29, 2026; Canadian figures differ, so readers outside the US should recheck the local vendor pricing page before budgeting.
