Is switching software worth the cost? Compare monthly savings with training time and migration expenses to see when you’ll break even and how much you’ll actually save or spend over your chosen timeframe.

| Monthly savings | — |
| Training cost (team × hrs × rate) | — |
| Migration (one-time) | — |
| Upfront investment | — |
| Break-even point | — |
| Net position | — |
Monthly savings = current price − new price. Upfront = (team × training hrs × hourly cost) + migration. Break-even = upfront ÷ monthly savings. Net = (months × savings) − upfront.
How to read your result
Current tool $200/mo, new tool $149/mo, team of 5, 4 hrs training each at $30/hr, $500 migration, over 12 months:
- Monthly savings: $200 − $149 = $51
- Upfront: (5 × 4 × $30) + $500 = $1,100
- Break-even: $1,100 ÷ $51 ≈ 22 months
- 12-month net: (12 × $51) − $1,100 = −$488 — switching costs more than it saves in year one

Which trades is this for?
Any trade business owner considering a software change — check the costs before you sign.
- HVAC, plumbing & electrical: switching scheduling or dispatch platforms.
- Cleaning companies: moving booking systems without disrupting routes.
- Any owner: comparing CRMs, marketing or operations tools based on total cost, not just the advertised price.
Assumptions & limits
- Training costs come from staff time. Hours × people × hourly cost — the drop in productivity while everyone learns isn’t included, so consider this a minimum estimate.
- Contract terms matter. Early-termination fees on the old tool and annual-vs-monthly billing on the new one can change the result — include them in your migration costs or monthly prices.
- Missing features have a cost. A cheaper tool that lacks something you rely on may cost you more in other ways, which this calculator can’t account for.
- This is a planning estimate, not financial advice.
Common questions
How long until switching pays off?
Divide your total upfront cost (training time plus migration) by your monthly savings. That gives you the break-even point in months. If it takes longer than you expect to keep the software, switching won’t save you money.
What switching costs do people forget?
Data cleanup and migration testing, slower work while the team learns the new software, retraining when staff change, and connecting it to your other tools. If you’re unsure, allow more training hours.
Should I switch for a small monthly saving?
Only if you can break even quickly and the new tool works at least as well. A $20/month saving with a $2,000 switch cost takes over 8 years to pay back — and you’ll likely have switched again by then.
